How to manage additional pages in multi-page document

If you need to add new pages at the end of a document, you can continue working with automatic update of versions as usual. But when new pages are added in the middle of the document during the review process, you may have to think.

A safe method is to create a separate tab for additional pages and spreads. Regardless of the method, you should create additional pages in a separate Indesign document as well. This is to have control during the review process.

If you choose to upload additional pages in the position/order that they are suppose to have, then you need to upload them separately AND you need to name these pages in a way that ensures they end up correctly.

If, for example, you are going to add two pages after page 15 (of let’s say a 30 page document), then the the two page files need to be numbered 15-2 and 15-3 in order to end up between page 15 and 16.

An example, where the original multi-page document is called "Catalog.pdf" and the system has split the pages during upload and created the file name "Catalog.15.pdf". The file name of the additional pages must be assigned a hyphen (-) and a number. I.e.: "Catalog.15-2.pdf" in order to end up correctly (between page 15 and 16) with alphabetical order activated.

The system that manage automatic updating of new page versions is based on the fact that each page retains its file name from the previously uploaded version. Only the pages that have changed will be replaced with the new version and receive an automatic status change.

Separately numbered pages are handled separately and are not affected by upload of adjusted original document.

When all pages are approved, you can deliver a complete document where additional pages are in the correct order. In this case, many choose to upload a zip-compressed file, available for download, with all pages in a single multi-page document.

Those who handled additional pages in a separate tab often choose to create a new tab where you upload the document with the final order. Where reviewers can easily make a final approval.
