In summary, a workflow might look like this:

As a producer, writer or creative, you just need to drag and drop the PDF into your project tab. All pages and spreads are posted and sorted exactly as you saved the file. Here, both you and the reviewer, or other project participants, get a great overview and are able to see how far the process has gone.

With a constant total overview, everyone gets control in real time. This eliminates many questions and leads to fewer meetings.

The reviewer receives a notification for each new activity. Important events are notified by e-mail. All notifications come with a direct link and information that is fully written without you having to lift a finger. The technology takes care of all the logistical messages and writes them for you.

To make it as simple as possible for reviewers, ProoferHive has been equipped with flexible tools so that you can easily mark up and comment on whatever you wish to adjust.

Pinpoint with pins

If it is enough to point out where in the design you request changes, simple buttons are available. When you click anywhere in the layout, header or graphic element, a chat window appears where you describe your feedback. The recipient can now read and carry out the changes, but also respond in the same chat if something needs to be discussed further.

Highlight text

Select the text that needs to be edited. You can either describe your request of changes as plain text in the chat that appears, or simply click on the any of the preset buttons used for common changes. Choose between "Delete", "Change" and "Change font style". When you click on "Change", the text you selected is copied and you get a separate text field to write the wording that you wish to be replaced.

Freehand drawing

Being able to draw by free hand in the layout allows for significantly faster ways of explaining how something should be positioned, if something should be removed or have space or size changed.

When a page or a spread has been reviewed, the reviewer simply changes the status to "Change" if there are changes to be made, or "Approved" if and when everything on the page is approved and finished.

Pages that need to be adjusted are marked with red status and those that are approved are marked with green status. The work process becomes clearly visible and in addition to the notifications, the color game ensures that everyone finds without having to search. Read more about "Sort projects, tabs and files".

Pages that have not yet been reviewed are still marked with yellow status, and pages that you have not been opened by you also have a blue dot indicating this. You can always restore the blue dot, after you have opened and closed a page, this as a mark that you have not finished the review or if you want to mark it for some other reason. This blue dot-marking works as your personal bookmarks and does not affect others. Everyone thereby has good control over their own assignments. Read more about “Keep track of your own status”.

Update new versions on the go

As adjustments are made, creatives can drag and drop an updated PDF. This can be done at any time in the middle of a production. Only pages that have been adjusted are updated. Pages that were previously approved remain untouched in ProoferHive. Adjusted pages, that were previously marked red (Change), are now marked with the initial yellow status. Pages marked red, that have not been changed, will remain red until they are actually updated. Proofer detects the smallest pixel change. Read more about automatic update of multi-page PDFs.

Version management:

In ProoferHive, keeping track of changes and versions is easy. For each new version of a page, the versions are listed visually. All versions are numbered and made visible in the activity feed for each page. Which changes have been made in which version is clear both in real time and anytime you need to do follow-up checks. For those who produce, all red marked files and pages are made visible, and for those who review, all yellow marked files and pages are made visible.

As pages are approved, the project gets more and more green marks. Everyone involved can therefore see how far the process has progressed. You don't have to count pages when you intuitively see if you're halfway there or close to the end goal.
