What you may and may not see when trying out ProoferHive

Most people who try ProoferHive for the first time choose to explore the interface and upload files to test the built-in commenting, review and approve tools.

If you've already tried the basics, move on to the next step.

Create a client. Click on the "plus sign" at the top of your client list and enter a name (company name). Then, click on the client name in the list which will bring up a project view for that specific client. Click on the corresponding plus sign to create a project.

Enter a name for the project, "Test project" for example. When testing out on your own, you often choose yourself as the only participant in the project. Click Add.

You can then structure the project however you like using tabs, add a tab for different types of file groupings. Click on "Add tab" and enter a name, "Test tab" för example. Now, you can upload your files in that tab, either by "Upload" or drag and drop.

Automated processes that you see but don't have to think about yourself.

When files are uploaded from the agency’s point of view, they are marked with a yellow status which indicated that they are ready for review. The system generates notifications to all reviewers informing who uploaded what and when, with thumbnails and a link to the file.

When a reviewer highlight text, draw with the freehand tool or place out a pin (in a document, layout, image, video, etc.), a red pin is placed along with a text input for feedback comments. When a file is finished being inspected, the reviewer changes the status of the file from yellow (needs review) to green (approved) or red (change). An on-site and/or email notification is sent out to the creatives at the agency, who will proceed with the reviewers requested changes (if not approved of course).

When someone on the marketing/reviewer team uploads files, they are marked with a blue information status (i). This is because the majority of files from the client are documents such as briefs, scripts, concept images or graphic manuals, etc.

 

If any of these materials need to be enabled for review, then change the status symbol from blue to yellow in order to be able to approve or request changes.

Click on the status symbol and disable “Mark as info“.

Even the text highlight tool is provided with automation. As you highlight a text, simply choose from our prepared commands. This way, the requested change becomes simple and clear for the recipient, and you avoid the hassle of writing both "what is to be done" with the text and "how you want to change it". When the selected command is published, an automatic notification is sent to the relevant participants.

This feature is originally created for a customer's bot that receives and performs the requested changes. The key here is that the robot needs consistent commands. But consistent wording also makes it easier for humans, especially when misunderstandings are minimized.


What happens without you having to think

Once an actual project is up and running, all actions and notifications appear like in a game. We usually compare it to a tennis game between individuals or entire teams. The difference is that ProoferHive helps you keep an unlimited number of tennis balls in the air. Digital relay sticks and a developed status hierarchy ensure that everyone finds the right action without searching. This speeds up the process and shortens the project time.


The experience of true workflow is quite difficult to imitate when just trying out the basics. It will be like sitting in a parked car. In order to assess the driving characteristics, you need to actually start the car and go out into traffic.
